Add locations and registers

Set up each shop, warehouse and till so stock, receipts and cash counts stay separate. Covers plan limits and receipt layouts.

What is the difference between a location and a register?

A location is a place that holds stock: a shop, a stockroom, a warehouse. A register is a till inside a location where a staff member opens a cash drawer and rings sales. A boutique with one shop and two tills has one location and two registers.

Getting this right early matters because stock counts, sales reports, receipts and cash counts all hang off it.

Before you start

  • Your account is created and your tax rate is set (see the guide to creating your account if not).
  • The address, phone and email you want printed for each location.
  • A short code for each location, such as “DXB-MALL” or “LHR-GULB”.
  • Your return policy text for the receipt footer.
  • A rough idea of how many tills each shop runs at peak, for example during an Eid rush or a holiday weekend.

Step by step: add a location

Your account starts with one default location. Rename it first, then add others.

  1. Go to Settings → Business locations.
  2. Edit the default location. Give it the name customers see and a location ID your team will recognize.
  3. Fill in the address, city, country, phone and email. These print on receipts at that location.
  4. Choose the invoice scheme (how receipt numbers are formed, such as a prefix plus a running number) and the receipt layout.
  5. Pick which payment methods this location accepts. You might take bank transfers at your Lahore shop but not at a pop-up.
  6. Save.
  7. To add another shop or a stockroom, choose Add on the same screen and repeat.

Separate numbering per shop

If you run two stores, give each its own invoice scheme with a different prefix. When a customer brings back a receipt, the number alone tells you which shop sold the item.

Step by step: add registers

  1. Open the location and find its registers (some setups call them cash registers or tills).
  2. Add one register per physical till, named so staff can tell them apart: “Front counter”, “Fitting room desk”.
  3. Save. Staff will choose the register when they open it at the start of a shift.

See open and close the register for how the daily cash count works.

How do I set up the receipt for each location?

Go to Settings → Invoice settings and edit or add a layout:

  1. Choose paper size: 80 mm thermal roll for most receipt printers, or A4 for full invoices.
  2. Turn on the logo, address, tax number and any fields you need.
  3. Write your footer, for example: “Exchanges within 14 days with tags attached. No refunds on sale items.”
  4. Choose the receipt language. Boutiques in Dubai often print English and Arabic; shops in Karachi may print English and Urdu.
  5. Assign the layout to the location.

Print a test receipt from a test sale before opening day. Check that the tax line and totals look right.

When do I need more than one location?

Add a location when stock physically sits somewhere else and you want to count it separately. Typical boutique setups:

  • One shop, everything on the floor: one location.
  • One shop plus a back stockroom you restock from: two locations, with transfers between them.
  • Two or three shops plus a warehouse: Flagship plan, one location each.

Moving stock between them is covered on the multi-location stock page.

Common problems

Staff cannot see the new location

New locations are not given to existing staff automatically. Edit each user or role and tick the location under access. See invite staff and set roles.

Receipts show the wrong address

The receipt uses the address on the location, not the business profile. Edit the location and print a fresh test receipt.

I cannot add another register

You have reached the register limit for your plan. Capsule includes one register, Collection three, and Flagship is unlimited. Upgrade from your account settings, or contact us if you are unsure which plan fits.

Products show zero stock at the new location

Stock is tracked per location. A new location starts empty until you receive a purchase there, add opening stock, or transfer stock in from another location.

How many locations and registers does my plan include?

Capsule covers one location with one register. Collection covers one location with up to three registers. Flagship covers up to three locations with unlimited registers, and more locations can be added at $29 each per month.

Should my stockroom or warehouse be its own location?

Yes, if you want to see what is in the back separately from what is on the floor or move stock between them with transfers. A location does not have to sell; it can simply hold stock.

Can each location have a different receipt?

Yes. Each location has its own receipt layout and invoice numbering, so your mall kiosk and your flagship store can print different addresses, footers and return policies.
